Maintains contract information and associated information from initialization of projects through completion.


The Contracting Assistant’s functional responsibilities will include but are not limited to:

  • Assists in the daily administration of contracts including, but not limited to, contract set-up and close-out, contract modification and maintenance of contract files

  • Facilitate communication between various business units and departments to ensure contract compliance

  • Input and maintain documents relating to: contract amendments, correspondence, and reports

  • Generate Job Billings and Payment Affidavits

  • Review accounts receivables' activities and follow up on issues

  • Issue all subcontracts

  • Review contractor and subcontractor submittals for material certifications

  • Review certified payrolls

  • Monitor lien releases

  • Set up DBE’s (Disadvantaged Business Enterprises) for monthly reporting

  • Maintain contact with Project Managers for quantity changes or subcontract issues

  • Correspond with subcontractors throughout the life of the subcontract regarding payments, finalization of the job, and any other issues related to the subcontract.

  • Generate Material on Hand requests as needed.


  • Strong computer skills including experience with the Microsoft suite (Excel, Word, Outlook)

  • Strong communication skills

  • Strong data entry skills

  • Ability to administer several tasks independently and concurrently, with ongoing changes in priority

  • Team player with self-confidence and professional presence

  • Hands-on, detail-oriented professional with excellent analytical, planning, and evaluation skills

  • High degree of maturity and business judgment

Preferred Qualifications:

  • Viewpoint ERP software experience a plus
